Choose a layout for your daily email

Start with the smallest layout that fits your details. The examples use fictional names and businesses; replace them with your own information before exporting.

Classic

For everyday conversations: a compact name, role, and contact block without a photo or logo. Classic has fixed formatting and one free export per account after sign-in.

Business Split

For company correspondence: keep your role and company identity beside your contact details. Choose the channels you use, and remove any sample social links you do not need.

Personal Brand

For client relationships: put a face beside your name while keeping your company identity separate. Use a clear portrait and check how the layout reads when images are hidden.

Decide what belongs in your signature

  • Lead with your name, current role, and company. A recipient should be able to identify you without reading a long list of titles or credentials.
  • Add a working email address, your preferred phone number if needed, and one relevant website. Check every destination after replacing the example details.
  • Use social links only when they help a recipient contact you or understand your work. Keep promotional copy short so your message remains the focus.

Photo, company logo, or just text?

A portrait can help people recognize you; a logo gives the company a visible place. A text layout keeps the contact details compact. Compare the narrow preview and, for image layouts, the preview with images hidden. Image display and spacing can vary after pasting or receiving a message.

Classic is the free text layout. Image layouts require ownership of the selected paid template before export; each template costs $5.99. Check pricing for current purchase availability.

Add your finished signature to Gmail

  1. Finish your details in the editor, review the preview, and use the copy action when your account has export access.
  2. On a computer, open Gmail, then Settings → See all settings. Under General, find Signature and create or select the signature you want to use.
  3. Paste the copied signature into the signature box. Choose the defaults for new messages and replies, then save your changes.

Check the email that your recipient will see

Compose a new message and a reply, then send yourself a test email. Check the received message on desktop and mobile: confirm the name, line breaks, image size, and each link. Review the image-hidden view too, so essential contact details remain readable.

The website preview is a starting point. It does not verify the saved Gmail draft or the received message. After editing a saved signature here, copy it again and replace the version in Gmail when you are ready to update it.
